Why one checklist beats separate folders
Certificates and provider records are useful evidence, but they do not show who is current right now. A shared register makes renewal cycles, missing evidence and working-towards qualification conditions visible before a review.
The five categories to track
Track WWCC number, state and expiry; first aid, CPR, anaphylaxis and asthma training; qualifications and conditions; health or immunisation records where required; and induction, child-safety and refresher training. Requirements vary by service and jurisdiction, so confirm the current rule with the relevant authority.
- Working with Children Check status.
- First aid and emergency-management training.
- Qualification currency and working-towards conditions.
- Required health or immunisation evidence.
- Induction and child-protection training.
Build a usable register
Use one row per staff member, status flags for current, due soon and overdue, a fixed review cadence, a named owner and a source column showing where the evidence can be found. SafeRecord ECEC provides this workbook structure with blank and fictional demo workbooks.
Common failure points
The recurring failures are relying on memory, filing certificates without transferring expiry dates, omitting conditions on working-towards qualifications and failing to record when a status was last checked.
