The real trade-off

This is not simply spreadsheet equals risky and software equals safe. Both approaches need an owner and a review process. The practical trade-off is upfront cost, setup effort, automation, visibility and data ownership.

When a spreadsheet is the right call

A spreadsheet can fit a single centre or small group of sites when one person can realistically review the records, staff turnover is manageable and the service wants data ownership without a recurring subscription.

When software earns its cost

Dedicated software becomes more attractive when multiple managers need live visibility, manual entry is the bottleneck or the service needs unprompted email or SMS reminders. SafeRecord ECEC is designed as a non-subscription workbook starting point, not as a replacement for every software platform.

Choose by the job

Test the process first: define what to track, how often it is reviewed and who owns it. Upgrade only when the measured manual workload or visibility gap justifies the recurring cost.
