Start with customer name, invoice reference, issue date, due date, amount, amount received and the date of the last follow-up. Use the same date format and invoice reference your records already use.
Turn ageing into an action queue
Group invoices by not due, due soon and overdue, then note the next planned contact. The aim is to make the next action visible, not to create an automated collection process.
Keep the workflow factual
Update a row only when you have a real payment, communication or agreement to record. If a payment is disputed or a customer asks for a change, keep a note and seek appropriate professional advice if needed.
