Measure activity and quality separately

Completed jobs show activity, while inspections, rework and client exceptions show whether the required standard was achieved. Keeping both views together makes a dashboard more useful.

Directional benchmark ranges

Operators often use a 90% or higher quality-audit pass target, a contract-specific labour ratio around 55–65%, fewer than one substantiated complaint per site per quarter and 85% or higher renewal retention as starting points. These are directional ranges, not universal standards or guarantees.

  • Define the inspection checklist before scoring.
  • Separate client preference requests from substantiated complaints.
  • Review labour ratio by contract type and complexity.
  • Compare retention with exit reasons rather than relying on one number.

What to do when a KPI misses

One weak result can be noise. A repeated miss over two or more review periods is a trend worth investigating. Look for the underlying scope, training, staffing, pricing or communication cause and record the next action.
